Membership Privacy Notice

Brighton Mosque and Muslim Community Centre (“the Mosque”, “we”, “us”) respects your privacy and is committed to protecting your personal information.
This Privacy Notice explains how we collect, use, store and protect personal information in connection with Mosque membership.
1. Information We Collect
When you apply for or maintain membership, we may collect:
- Your full name
- Date of birth
- Home address and postcode
- Mobile number and email address
- Membership number and membership start date
- Membership and Direct Debit payment status
- Records relating to membership continuity and voting eligibility
- Where required for voting eligibility, confirmation that your identity and/or address has been verified, including the date of verification and the authorised person who carried out the check
- Your communication preferences
We do not normally retain copies of passports, driving licences or other identity documents as part of the membership verification process.
2. How We Use Your Information
We may use your personal information to:
- Create and maintain the Mosque membership register
- Administer your membership and monthly membership payments
- Communicate with you about your membership
- Maintain accurate membership records
- Determine membership status and, where applicable, voting eligibility
- Verify identity and local residence where required for voting
- Administer AGMs, EGMs and other members’ votes
- Maintain appropriate financial, governance and audit records
- Send Mosque news and announcements where you have chosen to receive them
3. Membership and Voting Records
Membership is individual. Each member has their own membership record and membership number. Membership and voting rights do not extend to a spouse or other family members.
Membership does not automatically provide voting rights.
Where applicable under the Mosque’s governing rules, we may use membership duration, payment history, residence information and identity verification records to determine whether a member is eligible to vote.
4. Direct Debit Payments
Membership payments are collected using GoCardless.
When you set up a Direct Debit, payment and bank information required to process your payments is handled securely by GoCardless in accordance with its own privacy and data protection obligations.
The Mosque does not need to store your full bank account details within its membership register.
5. Membership Systems and Service Providers
We use Jotform to collect and administer membership applications and records.
We may also use secure administrative and IT services, including Google Workspace, for authorised membership administration, record keeping and reporting.
These service providers may process personal information on our behalf where necessary to provide their services.
Access to membership information within the Mosque is restricted to authorised persons who require it for legitimate membership, governance, voting, financial or administrative purposes.
6. Our Lawful Basis for Processing Your Information
We process personal information where necessary to administer the membership relationship, fulfil the Mosque’s governance and legal responsibilities, and support the legitimate administration of the Mosque and its membership.
Membership of a religious organisation may involve information concerning religious beliefs. Where applicable, such information is handled in accordance with UK data protection law, including the provisions applicable to not-for-profit bodies with a religious aim.
Where we rely on your consent for an optional purpose, such as certain communications, you may withdraw that consent at any time.
7. Sharing Your Information
We do not sell members’ personal information.
We may share personal information only where reasonably necessary with organisations providing services to the Mosque, such as payment processing, form management, IT, accounting or professional services, or where disclosure is required by law.
We take reasonable steps to ensure personal information is handled securely and only for appropriate purposes.
8. How Long We Keep Your Information
We retain personal information only for as long as reasonably necessary for membership administration, governance, financial record keeping and applicable legal or regulatory requirements.
When membership ends, some limited information may continue to be retained where reasonably necessary for accounting, governance, audit, dispute resolution or legal purposes.
9. Your Data Protection Rights
Depending on the circumstances, you may have rights under UK data protection law to:
- Request access to personal information we hold about you
- Ask us to correct inaccurate or incomplete information
- Request deletion of your information in certain circumstances
- Request restriction of processing in certain circumstances
- Object to certain uses of your information
- Withdraw consent where processing is based on consent

You also have the right to raise a concern with the UK Information Commissioner’s Office (ICO).
